Executive Assistant
  • Start date: When we find the right candidate.

  • Hours: 8:30am – 4:30pm. 40hr/week.

We are looking for an executive assistant to embrace ByNature’s vision and be part of a growing business located in one of the greenest offices in Toronto.

At ByNature Design we strive to connect people with nature by offering products and services that bring interiors to life and make people feel good. We have been growing steadily since 2012. ByNature now has two offices (Vancouver and Toronto) and a team of 15 happy individuals with an enthusiasm for plants.

You will be working directly with our CEO and sales team on accounts payable, accounts receivable, bookkeeping tasks (Quickbooks), office management, human resources, and other administrative tasks. We are looking for somebody who is a quick-learner, multitasker, meticulous, trustworthy, independent, responsible and professional.

Please be sure you have the following requirements before applying:
– Canadian citizen, permanent resident or a valid work permit.
– Experience with Microsoft Office Suite (Word & Excel).
– Bilingual English/French.
– Administration, basic bookkeeping experience.

The following skills would be an asset:
– Experience in accounting and/or human resource software (Quickbooks, ADP, Odoo)

Tasks & Responsibilities

Internally, you will be the face and voice of the Company’s Toronto office. You will be responsible for answering the phone and welcoming people. You will work closely with our CEO and sales team to best assist them with invoicing and scheduling projects once orders are approved; ensuring receivables and payables are handled in a timely manner and assisting the CEO with basic bookkeeping tasks prior to sending documents to the accountant. You will manage human resource information and staff payrolls. You will also be assigned other administrative tasks and be able to handle requests on the fly coming from our CEO.

Externally, you will be required to use your excellent communication skills to collect payment information from clients and to follow up with late payments. You will also arrange shipment of samples to clients.

The position consists of the following tasks:

  • Basic bookkeeping
  • Human resource/staff payrolls
  • Other administrative tasks

  • Excellent communication and customer service skills
  • Excellent time management skills and the ability to prioritize work
  • Strong organizational skills with the ability to multi-task
  • Proactive and able to adapt to unexpected issues or requests on the fly
  • Quick learner and resourceful
  • Must be discreet, courteous, reliable, diligent and be able to work independently or in a team environment
